TrueShare Expands with AutoDesk FreeWheel

Here at TrueShare we are always looking to expand our features and usability. So with businesses and designers in mind, we are pleased to introduce the newest feature addition to the TrueShare online file system: Autodesk Freewheel

Ever thought it might be cool to publish interactive versions of your AutoCAD, Revit, Inventor, and Design Review drawings on your website or present them in a blog or newsletter? Autodesk Freewheel is a tool produced by Autodesk that allows you to easily present, collaborate, and share your 3D and 2D designs as DWF files.

Just like TrueShare, Freewheel is an application available to you without software downloads, and is compatible with Windows, Linux, Mac, and all popular web browsers.  Autodesk Freewheel integration now comes standard with all TrueShare accounts for easy and powerful review and presentation of your designs.

You can use Freewheel to access any DWF file in your TrueShare file system in either of two ways:

The first and fastest way is to simply log in to your TrueShare, navigate to the folder containing the DWF file, click the File Action Menu for the DWF file you want to open and then select the “Freewheel” option to load the DWF into a pop-up window (turn off pop-up blockers first!).View DWF AutoDesk files in TrueShare

The second way to present DWF files in your TrueShare system via the AutoDesk Freewheel technology is to embed the Freewheel application in your website. The example below is a sample drawing from the Freewheel gallery and contains 29 different views of the drawing. Essentially, what you’re looking at is a DWF file presented via the Freewheel API. Coding couldn’t be simpler, it’s just an iframe containing a source for the API and a TrueShare Direct Link to the drawing.

The width and height attributes can be set to whatever you want, so it’s very easy to configure the Freewheel interface to suit your site.

Once you have your DWF file displayed in Freewheel, you can zoom in and out, rotate it 360° on the x, y, and z axis, and pan up, down, left or right.  Not only does Freewheel let you view your design in these different settings, but you have the option to print or even share your DWF file in the viewer via email.

When it comes to online file sharing, companies such as Box, FilesAnywhere, and our own online file system, TrueShare.com, there are three limits that can be found within each service: file size limit, disk space limit, and user limit.  The file size and disk space limits are fairly obvious, but the one elusive limit we will be talking about today is the user limit.

What exactly is a user and why is it important?

Well, a user is someone who has access to a file sharing account.  There is always at least one user, and this first user has full access to all features of the account.  This is the person who originally opens the account.  Depending on the service you are using and its user limits, adding additional users may be an option. These extra users are set up and managed by the original user or that task can be assigned to a new user. These new users can be set up to have any level of permission from very limited access up to full access.

The option of extra users in TrueShare is powerful, especially for businesses, but also for personal or family use.  With unlimited users you can assign all of your employees a folder for remote access to their work, you can give customers and clients quick access to project folders and files they need as well as collect files from them, you can also utilize multi user features such as reporting, user groups, work groups, versioning, and forums for superior online teamwork. These extensive user management options and collaboration tools make unlimited users indispensible for a business or work environment.

Honestly, we feel there is no competition.  With any TrueShare business account, no matter the disk space, you get unlimited users.  You might be saying “I only need 10 users because I only have 10 employees.”  I would counter with “How much disk space are you looking to use?” If you only want to share word documents with your employees, you would not need to pay for much space.  But looking at Box.net, they do not offer packages with 10 users for less than $150 a month regardless of the disk space needed.  And while FilesAnywhere’s additional users are more reasonably priced in the neighborhood of $3 monthly each, you get charged for every one.

The reason these services become so expensive is that they charge by the disk space and per user, so that the price looks good for the amount of space you get, but ends up skyrocketing per user you add, which is why having only 10 users costs so much.  If you are looking to more efficiently share your computer files with your employees for a reasonable cost, Box and Files Anywhere are not for you.  For just $25 a month (annual rate), TrueShare offers businesses 5 GB of storage with unlimited users, which is perfect for business documents sharing needs, but TrueShare is so much more than that.

A Recycling Blast for TrueShare.com at the Kansas City Irish Fest

Kansas City Irish Fest

The TrueShare team had a blast at the Kansas City Irish Fest this year, as we were the official sponsors of the recycling program as well as the band sponsor for Hot House Flowers on Friday and Saturday night of Labor Day weekend.

Some of you 95,000 good people attending may have seen the TrueShare recycling street-stickers around, and hopefully they pointed you in the direction of the nearest recycling bin. Mitch Matt, president of TrueShare said of the 2009 KC Irish Fest, “It was so much fun, and everyone was very receptive of a local green company trying to help make a difference.” Of course we’re all happy to hear our efforts really did make a difference.

The Irish Fest reported that this year, with the help of TrueShare, they recycled 248 bags of bottles, cans, and cups. At an average weight of 9 lbs per bag, that equals 2,232 lbs of plastic recycling. That’s more than a ton of plastic that we helped to keep out of our streets and landfills.

Along with sponsoring recycling at the Irish Fest, we also wanted to raise awareness about the ease of going paperless with the TrueShare Online File System. So during our band introductions, we threw TrueShare “Go Green” t-shirts out to lucky people in the crowd. “They were so excited,” said Mitch, “and if we persuaded one person to go paperless, it will have been more than worth it.” Overall it was a great weekend of music, dancing, meat pies, and recycling.

Reading Makes You Smarter – The TrueShare Library

Today we completed the initial publication of our new TrueShare Library developed with the hope of helping those less knowledgeable about our industry and our service get up to speed easily.  There are so many new terms associated with an online file system that a simple conversation can sound alien to many of us and then we tune it out!

Rather than tuning it out and staying uninformed, we’ve made it easy for you. With articles on key subjects like file sharing, file storage, ftp servers, and remote access, you can become an expert in no time.  Our initial release of the Library consists of 10 informative articles and we have many more underway and will be updating them often.

Also coming in the next several days will be the availability of all our articles in an MP3 Pod Cast format so you can read with your eyes closed.

Budget Management with Mint.com

Mint.comI’ve used several financial programs over the years, such as Quicken and Microsoft Money, but just recently I have given Mint.com a try.  Mint is fairly new to the financial market, launching in 2007 with its beta release.  The goal of Mint.com is to provide a free online money management system. They offer synchronization with your different bank accounts for easy monitoring of your cash, credit, savings, and investments.

What really stands out about the Mint.com service is that it’s free.  It’s an option that just makes sense considering most people looking to manage their money might not have any extra to spend on software.  The design as well is very appealing, and surprisingly intuitive.  When I first visited the site to see what it was about, I managed to set my account up (including synchronization with my bank) in less than 5 minutes.  That was mostly because they do not give you any setup or layout options from the beginning.  You can take that as a good or bad thing, it just depends on how much control you like to have.

One of my favorite features about mint.com is the Trends tab.  It gathers your spending history from your various accounts and arranges it in charts and graphs so you can better understand where all your money has gone.  There is even a graph that compares your spending to others around you, either from your state or city.

Mint.com  Trends Pie ChartThe alerts system is also a nice feature of Mint.  I discovered it while out by receiving a text saying my account had dipped below a certain dollar limit.  I was a little surprised because I did not choose to receive these alerts from the beginning, but it is easy to go into your account page and change the settings.  You can also set it to alert by email, and under different sets of parameters.

There is also a budget builder to help you get in the habit of spending more wisely.  I haven’t played around with this feature as much, but it seems like a great idea that hasn’t been fully implemented yet.  It doesn’t do much more than display the amount of money you hope to spend for a specific category.

All-in-All I think that Mint.com is a great financial service, and could become the mascot of an online financial movement.  It may not have as many options or features as the big name financial programs, but it is great for the average person to get their personal finances in order.  The only reserve I would have about using Mint is security. But since it uses a password system and my bank accounts are already online, I decided it seems safe enough.

How To: Use TrueShare to automate Medical Transcription processes

Use TrueShare for Medical Transcription

You might be used to seeing doctors and nurses walking around with patient charts, or the floor to ceiling file shelves behind the receptionist desk at your family practice. These documents of course hold histories and notes on patients, and are critical for correct medical care. And since it is so important for patient data to be secure and up-to-date, most medical organizations use transcription services to decipher doctor’s audio notes and insert them into patient files.

The great thing about constantly evolving technologies like online file systems, is that established processes such as transcription can be easily enhanced. Today I’m going to look at how TrueShare‘s Auto Tran feature can be used for quicker and more efficient medical transcription.

With a TrueShare business plan, a transcription services company can assign individual accounts for every employee within each of their client’s offices. They can then group the accounts with the user or work group functionality, according to which office they belong to. This keeps the file system organized and easy to access.

An example of Auto Tran being used in a medical transcription setting would proceed as follows: A member of the staff at a doctor’s office has 35 audio recordings from that day’s patient visits. She places these recordings in a folder that has been set up with the TrueShare Auto Tran application to be monitored for changes every hour. When the application finds the new files in the folder, it automatically uploads them to TrueShare.com, and can also copy them to an archive folder on the local computer for safe keeping.

The administrator at the transcription company then logs into TrueShare and sees all of the files that have been uploaded since the last time he logged in. He uses the “move” option to transfer the new files into both the transcription employee’s folder as well as an online backup folder in the main account. An email notification is then sent to the employee telling them that files are available in their folder.

The employee can either have Auto Tran set up to automatically bring the files to his personal computer, or he can log in and download the files to wherever he may be using a computer. Upon completion of the transcription by the employee, the process repeats itself in reverse until ultimately the doctor’s office receives its transcribed documents securely and promptly.

As you can see, using Auto Tran instead of a paper or offline electronic system is much more efficient. It saves time and resources, while also providing global connectivity (since files are stored online and can be accessed from anywhere.) I should also mention that TrueShare‘s security and encryption measures make it HIPAA compliant straight out of the box. Feature Spotlight: Using PhotoShare to Share Pictures

Today there are many ways to share pictures with friends, family, colleagues and clients.  Images can be found everywhere online, and any social media site worth its salt provides a photo album or gallery application.  With such an emphasis on sharing pictures, and so many outlets to do so, it can be hard to decide where to upload your image files.

I am a bit more traditional, and maybe even conservative when it comes to posting photos of my friends and family on the web. It seems safer to just make copies of pictures and pass them out at the next family function. Unfortunately, that’s not very cost effective or timely.

Email has come a long way as far as using attachments to send large files is concerned, but it is very inefficient unless you have the time to send three pictures per email. If you’re trying to share a vacation’s worth of photos, email is not an option.  Online profiles usually provide an outlet for pictures, but they frequently limit images by size and sometimes dimension.  Dedicated photo sites are also great for sharing, but are often inadequate with security.  I’ve read stories of personal pictures ending up in advertisements in foreign countries despite strict copyright protection.

The solution for me is a widget within the TrueShare online file system called PhotoShare. Not only can I safely keep my pictures in online storage in their original resolution, but I can share them with friends and family without allowing the rest of the world to see. It’s actually a revolutionary concept: A photo album that doesn’t take up shelf space (or disk space for that matter) and is accessible to anyone I choose, at any time.

Here’s how it works: I use TrueShare to send a direct link that’s associated with the photos I took last weekend to my sister. Yes, this is cloud computing, but it’s simple and easy to understand. TrueShare, in this instance, acts like a virtual thumb drive or a virtual hard drive “in the cloud”. My sister just clicks the link and there are the 150 photos I wanted her to see, viewed from their online storage through a flash viewer that starts automatically. The images are also not downloaded to her computer (unless she wants them to be) so they don’t take up any space. No more worries about attaching pictures or navigating complicated websites where pictures can be stolen.

Of course sending a direct link is not the only way to use PhotoShare to share pictures.  If you have a website, a blog, or even a newsletter, you can link a PhotoShare album easily using a simple image tag.  There are also embedding options for website integration, and slide shows you are able to connect to your blogs, sites, and articles.  So if you’re like me, and need a way to share your photos efficiently and affordably, check out PhotoShare.
